Understanding retailer deletion permissions and procedures across different user levels
What is Retailer Deletion?
Retailer deletion in the EyeOn Portal CMS operates on multiple levels, depending on your user access permissions. The system is designed to protect data integrity while giving users appropriate control over retailer assignments within their scope of responsibility.
It's important to understand that 'deleting' a retailer means different things for different user roles - from removing a location within a center to completely removing a retailer from the EyeOn library.
Key Features
Different deletion capabilities based on your user access level
Remove specific retailer locations from centers (all user levels)
Remove retailers from entire centers (Company/System Managers)
Safeguards prevent accidental permanent deletion of retailer data
Clear warnings before permanent deletion actions
Toggle retailers off instead of deleting to preserve data
Deletion Capabilities by User Level
Each user role has specific deletion permissions designed to maintain data integrity while providing necessary control:
Deletion Capabilities:
Remove individual location entries for retailers with multiple locations in their center
Method: Click the 'Delete Location' button when editing a specific retailer location
Requirements:
- • Retailer must have multiple locations at the center
- • Cannot delete the only remaining location (must use Edit to update instead)
- • Permanently removes that location's local information
Use Cases:
- • Retailer closes one location but maintains others in the same center
- • Removing a seasonal kiosk while keeping the main store
- • Correcting duplicate location entries
Cannot remove retailers entirely from their center
Alternative: Must contact Company Manager or System Manager to remove retailer from center entirely
This restriction ensures proper oversight of center tenant management
Cannot permanently delete retailers from the EyeOn system
Center Managers have no access to system-wide retailer deletion
Best Practices for Center Managers
- • Only delete individual locations when you're certain they won't return
- • Verify with property management before deleting retailer locations
- • Keep records of which locations were deleted and when
- • Contact Company or System Manager to fully remove retailers from your center
- • Consider whether updating the location information would be better than deleting
- • Coordinate with leasing team before making deletion decisions
Deletion Workflows
Step-by-step processes for different types of retailer deletion:
Applicable To: Center Managers, Company Managers, System Managers
Scenario: A retailer has multiple locations at a center, and you need to remove one specific location
Open Edit Retailer
Navigate to the Retailers page and click on the retailer you want to edit
→ The Edit Retailer modal opens
Select the Center (if applicable)
Company/System Managers: Click on the center name in the centers list to open local information
Note: Center Managers automatically see their center's information
Choose Location to Delete
In the 'Additional Retail Locations' sidebar, click on the specific location you want to remove
Requirement: The retailer must have multiple locations at this center. If only one location exists, you must remove the retailer from the center entirely or update the existing location.
Click Delete Location
Click the red 'Delete Location' button at the bottom of the location editing form
Warning: This permanently removes this location's information
Confirm Deletion
Confirm you want to delete this location when prompted
Result: The location is permanently removed, but other locations at this center remain active
Important Considerations
- • This action permanently deletes the location's information (location, phone, hours, tags, etc.)
- • Cannot be undone - deleted information cannot be recovered
- • Does not affect the retailer's presence at the center if other locations exist
- • If this is the only location, use the center removal method instead
Applicable To: Company Managers, System Managers
Scenario: You need to completely remove a retailer from a specific center
Open Edit Retailer Modal
Navigate to the Retailers page and click on the retailer you want to remove from a center
→ The Edit Retailer modal opens showing global information on the left and centers list on the right
Locate the Center
Find the center in the centers list on the right side of the modal
Note: Centers are typically listed with toggle switches and action icons
Click Trash Can Icon
Click the red trash can icon next to the center name
Warning: This will remove the retailer from this center and delete all local information
Confirm Deletion
A confirmation dialog appears warning about permanent deletion
→ Confirm that you want to remove the retailer from this center
Deletion Complete
The retailer is removed from the center
Result: All local information for that center is permanently deleted. The retailer remains in the EyeOn library and at any other centers where it was assigned.
Important Considerations
- • This permanently deletes ALL local information for that center (all locations, phone numbers, hours, tags, descriptions, etc.)
- • Cannot be undone - you will need to re-add the retailer and re-enter all local information if you want to restore it
- • Does not affect the retailer's global information or presence at other centers
- • Does not remove the retailer from the EyeOn library
Consider Using Toggle Instead
Before permanently deleting, consider using the toggle switch to disable the retailer at the center:
Benefits:
- • Preserves all local information for future reactivation
- • Retailer becomes inactive at the center but data is retained
- • Can be re-enabled instantly without re-entering information
- • Ideal for seasonal retailers, temporary closures, or uncertain situations
Method: Click the blue toggle switch next to the center name to turn it gray (disabled) instead of using the trash icon
Complete removal of retailers from the EyeOn library is restricted to Super Administrators only. This is a protective measure to maintain data integrity across the entire system.
- • Super Administrators can permanently delete retailers from the EyeOn library
- • This type of deletion removes the retailer from all centers and the shared library
- • This capability is not available to System Managers, Company Managers, or Center Managers
- • Permanent library deletion requires special approval and verification processes
- • Once deleted from the library, the retailer information cannot be recovered
Important Warnings & Considerations
Deletion is Permanent
Once you delete a location or remove a retailer from a center, that action cannot be undone. All local information is permanently erased.
No Data Recovery
Deleted local information (location, phone, hours, tags, descriptions) cannot be recovered. You will need to manually re-enter all information if you re-add the retailer.
Center Removal vs System Deletion
Removing a retailer from a center does not delete it from the EyeOn library. The retailer remains available for other centers and can be re-added to your center later.
Toggle as Alternative
Consider using toggle switches to disable retailers instead of deleting them. This preserves all local information while making the retailer inactive at the center.
Multiple Location Consideration
If a retailer has multiple locations at a center, deleting one location is permanent. Ensure you're deleting the correct location.
Permission Restrictions
Your user level determines what you can delete. If you need to perform a deletion action that's not available, contact a user with higher permissions.
Best Practices
General Deletion Best Practices
- • Always confirm you're deleting the correct retailer or location
- • Understand that deletion is permanent and cannot be undone
- • Consider using toggle switches to disable instead of delete
- • Coordinate with relevant stakeholders before major deletions
- • Keep records of what was deleted and when
- • Verify tenant lease status before removing retailers
- • Double-check retailer names to avoid deleting the wrong entry
Alternatives to Deletion
- • Toggle off retailers temporarily instead of deleting
- • Edit and update information instead of deleting and re-adding
- • Use 'Inactive' or similar tags instead of removing entirely
- • Archive seasonal retailers by toggling off rather than deleting
- • Coordinate with higher permission levels for permanent removal needs
- • Save local information elsewhere before deleting if you might need it
